ScaleHR Inc. ("ScaleHR," "we," "us," or "our") operates SocialHRCamp, including the website socialhrcamp.com and the events, community programs, and communications associated with it. This Privacy Policy explains what personal information we collect, why we collect it, who we share it with, and the rights available to you under applicable privacy laws, including the EU/EEA/UK General Data Protection Regulation (GDPR), Quebec's Law 25, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's Anti-Spam Legislation (CASL), Israel's Privacy Protection Law, and the California Consumer Privacy Act (CCPA).

  • Contact and inquiry information: name, email address, phone number, and company name, when you submit a form on our website (e.g., Contact Us, sponsorship inquiries, or a "book a call" request).
  • Newsletter sign-up information: email address, when you opt in to receive updates from ScaleHR or SocialHRCamp.
  • Event registration and ticketing information: name, email address, billing and payment details, and any other information you provide when registering for or purchasing a ticket to a SocialHRCamp event through Eventbrite or 3Common.
  • Website usage information: standard technical data such as IP address, browser type, device information, and pages visited, collected automatically through our website hosting provider.
  • Video engagement information: if you view an embedded event recap video on our site, the video provider (Vimeo) may collect standard playback data.

3. How We Use Your Information and Our Legal Basis

  • To respond to your inquiries and communicate with you about SocialHRCamp events, sponsorships, or partnerships (legitimate interest / to take steps prior to entering a contract).
  • To send you newsletters or marketing communications, where you have opted in to receive them (consent).
  • To organize, promote, and deliver events you register for, including processing your ticket purchase through Eventbrite or 3Common (performance of a contract).
  • To maintain the security and proper functioning of our website (legitimate interest).
  • To comply with our legal obligations.

5. Who We Share Your Information With

We do not sell your personal information. We do share personal information with the following categories of recipients, each acting under contractual data protection obligations:

  • Webflow, Inc. — our website hosting and forms provider.
  • Eventbrite, Inc. and 3Common Inc. — our ticketing and event registration providers. Depending on the event, your registration and ticket purchase may be processed by Eventbrite or 3Common as our service provider/processor.
  • HighLevel — our customer relationship management and email/SMS communications platform, used to send newsletters and follow-up communications.
  • Vimeo, Inc. — our video hosting provider for embedded event recap videos.
  • Event sponsors — for specific events, attendee information may be shared with that event's sponsor(s), but only if you choose to opt in during registration by selecting the relevant consent option. You can withdraw this consent at any time by contacting us at info@goscalehr.com.
  • Professional advisors, regulators, and law enforcement — where required by law or to protect our legal rights.

6. International Data Transfers

Because our service providers operate internationally, your personal information may be transferred to and processed in the United States, Canada, or other countries outside of where you live. Where this occurs, we rely on appropriate safeguards required by applicable law, including Standard Contractual Clauses and, where applicable, certification under the EU-U.S. Data Privacy Framework, the Swiss-U.S. Data Privacy Framework, and the UK Extension to the EU-U.S. Data Privacy Framework. For registrants located in Israel, this includes the transfer of your information outside Israel to our service providers, which we carry out in accordance with Israel's Privacy Protection Law and its requirements for safeguarding data sent abroad.

7. Data Retention

We keep personal information only for as long as necessary to fulfill the purposes described in this policy, or as required by applicable law. When information is no longer needed, we delete it or render it anonymous.

8. Your Rights

If you are located in the European Economic Area, the United Kingdom, or Switzerland: you have the right to access, correct, delete, or restrict the use of your personal information, to receive a copy of it in a portable format, to object to certain processing, and to withdraw consent at any time. You also have the right to lodge a complaint with your local data protection supervisory authority.

If you are located in Israel: you have the right to access and request correction of your personal information under Israel's Privacy Protection Law, to be informed of the purpose of processing and any recipients of your information, and to lodge a complaint with Israel's Privacy Protection Authority (PPA).

If you are located in Quebec: you have the right to access and correct your personal information, to request that we cease disseminating it or de-index it in certain circumstances, and to receive it in a portable format. If you are located elsewhere in Canada: you have the right to access and request correction of your personal information under PIPEDA, and to file a complaint with the Office of the Privacy Commissioner of Canada.

If you are located in California: you have the right to know what personal information we collect, to request deletion or correction of it, and to opt out of the sale or sharing of your personal information. As noted above, attendee information may be shared with event sponsors; you can opt out of this sharing by contacting us.

Everyone: you can unsubscribe from marketing emails at any time using the link in the email or by contacting us directly.

9. Children's Privacy

Our services are not directed to children under the age of 16, and we do not knowingly collect personal information from children under 16.

10. Security

We use reasonable technical and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised "Last updated" date.
